Nielo sits between the systems you already use: your billing platform, your bank, and QuickBooks. Here is what changes for your team.
1. Connect your systems
Link your billing platform, your bank activity, and QuickBooks Online. Your Nielo advisor sets your organization up with you once: your locations, your service lines, and how you want them to read in your financial statements. You do that once, not every month.
2. Deposits stop being a mystery
Today a large payer deposit lands and somebody has to work out what it actually was before anything can be booked. Insurance money, a fee, money coming back out from a prior period, and a transfer that was never revenue at all can all be in the same week of bank activity, and untangling it is slow, thankless work that only a couple of people know how to do.
What you get instead
Deposits arrive already accounted for. What is left is a short list of the things that genuinely need a person, with enough context to decide, instead of a reconciliation nobody has time to open.
When something cannot be resolved
It is held for review rather than pushed into your books. Nielo only posts revenue it can stand behind: a number that ties for the wrong reason is worse than a number that is late.
3. Your books stay yours
QuickBooks receives accounting, not patient records. Everything Nielo posts is traceable back to the activity behind it, which is exactly what your accountant asks for at review and what a diligence process asks for later. Your bank feed reconciles instead of fighting you, and month end starts mostly finished rather than starting from zero.
Accrual accounting, automated
Revenue counts in the month the work happened, not the month the money finally shows up. Nielo carries that estimate for you and keeps it honest as reality arrives: claims get paid, denied, adjusted or clawed back, and the accounting follows without anyone rebuilding a spreadsheet. You see what you earned, what is still owed to you, and how far the two have moved apart.

Cash accounting, simplified
On cash basis you get the same clean QuickBooks output and the same traceability, with revenue recognized as it is received and no accrual estimates to review. Plenty of organizations should start here. Moving to accrual later is a guided transition scheduled for the start of a period, not a rebuild.
People, where judgment matters
Every plan includes implementation and close-workflow guidance from an assigned Nielo advisor: initial setup, revenue and location mapping, first-close review, and exception procedures. Your accounting team remains responsible for final accounting policy and financial-statement review. Nielo does not provide bookkeeping, tax preparation, audit opinions, or outsourced insurance billing.

What systems does Nielo work with today?

Does Nielo automatically post to QuickBooks?
Yes, once your setup is confirmed and the activity is resolved. Anything unresolved is held for review and never posted, so nothing lands in your books that you would have to go back and unwind.
What exactly lands in QuickBooks?
Accounting, itemized the way you asked for it to read, and traceable back to the activity behind it. Patient records never leave your billing system.
Does Nielo replace our billing team or accountant?
No. Your billing team keeps billing, and your accountant keeps accounting policy and review. Nielo automates the reconciliation and posting work between your systems.
What if our books are currently a mess?
Nielo reconciles forward from the import date you choose at onboarding. Historical cleanup is scoped separately so the go-forward books start clean.
Can Nielo support multiple legal entities?
Each Nielo workspace manages one set of books today, and additional entities are on the near-term roadmap. Multi-location within one entity is fully supported now.
How does Nielo handle patient data?
Patient detail stays in your billing system; QuickBooks receives accounting summaries only. Inside Nielo, patient references are tokenized by default and unlock only with passkey verification. See Security for the full picture.
What happens if we leave Nielo?
Your books live in your QuickBooks, so everything already posted stays yours. Your mapping and reconciliation data is exportable, and your workspace data is deleted on request. Deleting it clears the live data straight away. Any backup of the system is kept for fourteen days and then deleted by the next nightly run, so a copy of your workspace can sit in a backup taken before the deletion for up to sixteen days, and after that no backup of the system holds your workspace data. What we keep after that is our own record of the account rather than your books: the date the workspace was deleted, our billing and revenue records for it, and a security log of who did what, which includes the email addresses of the people who had access.
